Re: Institutional Records and Magazine articles

I haven't seen any replies to this, so thought I would send one.

I have a file of magazine and newspaper articles related to the Culinary Institute of America. In most cases, I keep a photocopy of the article rather than an original, although when there are color pictures, I may keep an original. In most cases, also, I retain only the article, rather than the full issue of the journal.

For magazines that are in the library, I keep a copy of the article anyway, so that if someone needs articles on a particular subject related to the Institute, they are all in one place. An alternative would be to have a piece of paper in the file that includes the citation for the article. However, if one did that, Murphy's Law would dictate that when the researcher went in search of the journal issue, that would be the one issue that would be missing (and the fact that it had an article related to the instituion might predispose it to go missing).

I am a new art museum archivist dealing exclusively with internal
institutional records on exhibition history and artist reocrds. My question
deals with Magazine articles relating to an exhibition. Are original
editions of journals with articles pertaining directly to an exhibition kept
within the archival records? Or are copies made of the journal, like
newspaper articles. Does it differ if it is a regular periodical which may
be accessed through your local library fairly easily, like the "New Yorker",
or "Art New England," verses a rarer one such as small art zines, local
literary journals, etc.?? Copying and disposal of a journal is preferred due
to space limitations. Another option may be copying of a journal article
for the records and storing the original elsewhere - yet is this necessary
if the journal may be accessed through the library?
Any thoughts or advice on this issue would be greatly appreciated.
