*** MAIL DOCUMENTATION *** This is the California Regional Office Document or DP mail system. To get additional help, type: HELP MAIL DP for data processing type of mail HELP MAIL LOCAL if you are directly wired into the RO PDP-11 HELP MAIL REMOTE if you need a telephone to call the RO PDP-11 HELP MAIL APPENDIX to get a list of distritution names for the MAIL. 2 DP MAIL -- Inter-User Message Transfer Utility Users may leave mesages for themselves or other users by means of an intra-user MAIL utility, MAIL. When a user logs on he is notified if there is any mail waiting for him to look at. Imediately following logon, or any time thereafter, a user may request that mail be displayed at the terminal. The user is given the option of having the MAIL.TXT file copied into his directory at that time, deleting the MAIL, or doing nothing. The present implementation of this utility is very versitile, and the user is urged to read the User's Guide to the Mail Utility. Further HELP on using the MAIL utility may be requested using HELP MAIL DP keyword where keywords are; COMMANDS Command format for MAIL DESCRIPTION General description of Mail Utility LETTERS Sending Mail requiring a reply. NAMES Last names to use in sending MAIL. NOTICES Sending Mail not requiring a reply. SEND Sending mail to another user. SYSTEM Sending mail to SYSTEM. RECEIVE Receiving mail from another user. 3 DESCRIPTION MAIL supports inter-user transfer of messages, notices and letters between users on an RSX multiuser system. MAIL maintains a 'mailbox' for each user, and each letter is inserted into the user's mailbox. Once deposited into the user mailbox, only that user has access to it. The sender can not retrieve the letter, nor can any other unprivleged user access the contents of the mailbox. Each user may open his mailbox and read its contents. Then he may leave it in the mailbox, throw it away, or save it into a "mailbag". 3 COMMANDS The general command syntax to send mail is: MAIL [letter] [/NO] [TO name] where the brackets enclose optional portions of the command line. 'letter' if specified must be a valid RSX filespec. If an extension is omitted , .TXT is used. If no 'letter' is specified, MAIL will read the letter from the terminal until ^Z is typed. The 'letter' may have an optional switch '/NO' to signify that it is a notice not requiring a reply. Letters always require a reply. 'TO' is required if a 'name is specified. 'name' is the last name or list of names( or list of names seperated by commas) to whom the mail is to be sent. It is either a last name (used in logging on) or a [UIC]. MAIL will read in names until ^Z is typed. MAIL may be received at any time by typing MAIL ME, and the status of the user's mail displayed by typing MAIL ?. 3 SEND MAIL may be sent to another user by either typing MAIL [filename] TO [username] MAIL TO username or MAIL If 'username' is omitted, the SYSTEM prompts for the name with TO WHO?, at which time the 'username' is entered. The system will inform user if the 'username' does not represent a valid account. The system will prompt for additional 'usernames' until a ^Z is typed. If the 'username' is accepted, the system prompts with LETTER> ,at which time the user may type in up to 120 characters followed with a carriage return. Text lines may be entered in this manner until done at which time the user enters a Control Z (^Z) to signify the end of the MAIL file. Valid 'usernames' are either the user's last name or their account number specified as either [GGG,MMM], [GGG/MMM], or GGG/MMM. MAIL will continue to prompt for 'usernames' until ^Z is typed at which point it will ask if the 'user' requests a reply. The correct user name must be known to send mail. A list of valid last of names may be obtained by typing HELP MAIL NAMES 3 RECEIVE Users are automatically notified that mail has been sent them if they are logged on when it is sent. The status of a user's mailbox may be displayed by typing MAIL ? at the terminal. The amount of mail waiting for the user will be displayed. A user may receive mail by typing MAIL ME or ME in response to the TO WHO? prompt. The user is given the opertunity of transfering the mail to a permanent file. Otherwise, the MAIL is "burned" after reading. When the system prints out the MAIL message, it prefixes it with the date, UIC of the sender, and the sender's last name. 3 SYSTEM Messages may be left for the system programer J. DOWNWARD by typing MAIL TO DOWNWARD. Messages relating to system problems, system performance, hardware problems, unexplained and troublesome error messages, etc. should be left in the system mailbox by typing MAIL SYSTEM. 3 NAMES With the exception of Mark Buoniconto, and the Bushes, use last names. For Mark B. use MARKB. To send mail to the Bushe's (similar last names confuse MAIL) use their respective account numbers. A reasonably current list of last names(or account numbers, is found in each monthly summary of usage. 3 LETTERS #NOTICES 3 NOTICES Mail can either be a 'notice' for which no reply is expected or it can be a letter for which a reply is expected. If a reply is expected, MAIL prompts for a reply. If the syntax MAIL 'letter' To 'name' is used, a reply is expected unless a /NO switch is appended to the filespecifier for 'letter'. 2 LOCAL LOCAL INTRODUCTION Each Regional office staff has SIX USER areas, and TWO MAIL areas. The areas are named XXXX-USER1 through XXXX-USER6, XXXX-INBOX and XXXX-OUTBOX Where XXXX is the distribution code listed in the NAME APPENDIX. The names are used for signing onto WORD PROCESSING and/or DATA PROCESSING, for example "WAS-USER1". The USER areas are to be used for everyday WORD PROCESSING activities. The INBOX and OUTBOX areas are to be used for MAIL activities ONLY. Each USER has access to the two document areas set up for MAIL in WORD PROCESSING along with one of the SIX USER areas. Area 1; the USER area, which can be used for creating up to 200 documents. Area 2; the INBOX area from which USERS can expect their mail from other USERS. Area 3; the OUTBOX area to which USERS send documents which are to be sent to other USERS. To observe what documents are in the USER, INBOX, and OUTBOX areas, do while in WORD PROCESSING mode: "I" "I 2" "I 3" and the index for the documents in areas 1, 2 and 3 respectively, appear. TYPE: HELP MAIL LOCAL INBOX for instructions on INBOX access HELP MAIL LOCAL OUTBOX for instructions on OUTBOX access 3 INBOX INBOX ACCESS: To obtain index of INBOX documents, do "I 2" when logged into a USER area, MAIN MENU status. After noting what documents exist, either read, print and/or copy the documents to the USER area, after which, delete all documents in the INBOX area. It is a USER responsibility to keep the INBOX area as empty as possible, otherwise the SYSTEM MArNAGER will erase dormant documents. To copy a document, create a document in the USER area, do G, then enter the document name in the form "2.n" where n is the document number. NOTE: When accessing documents from the INBOX area, always use the document number. For example: "2.4" is document 4 of the INBOX area. To do this, use "P 2.2" and print it locally on your printer. After printing, use "D 2.2" to delete the document. To save the document in your USER area, since INBOX areas will be erased by the SYSTEM MANAGER, do the following: C (a name not yet used) !create a document in your area !press the gold key and the G key 2.2 !enter document number from the INBOX !Press the gold key and the f key The document is now in the USER area. Now delete it from the INBOX area as was shown above. 3 OUTBOX OUTBOX ACCESS: To enter a document into an OUTBOX area, first create it in the USER area. Then to send the document to the OUTBOX area, proceed by the method shown below starting from the MAIN MENU: C 3.name1,name2,...,namex G Name of document in USER area F where name1,name2,...,namex are the distribution codes listed in the NAME column in the APPENDIX. Note: if in creating name1, the name already exists as a document, then the user may place a number directly after the name so as to have a unique name, e.g, CS1 instead of CS. NOTE: When creating documents for the OUTBOX area, if the USER wished to include another distribution code, or remove a code, then the USER could edit document "3.1" to make the indicated change. That document is the index document for the OUTBOX area. Then after it is correct, note what destination codes (found in the NAME column of the APPENDIX) are to be used in sending the letter to other staffs and units. Create a document in area 3, the OUTBOX area, with the names of the destinations, separated by commas, as shown below (assuming RF and CS staffs delivery). A copy will be sent to the issuing user. To correct the destination, edit document 1 and change the appropiate line. Note that the destination code is in CAPITAL letters. Note that after the OUTBOX account is accessed by the MAILMAN program, ALL documents in the OUTBOX will de deleted. It is up to the USER to have originals in other accounts if they are to be retained. 2 REMOTE Each remote access unit has only two areas for MAIL, named XXXX-INBOX and XXXX-OUTBOX, where XXXX is the distribution code listed in the NAME column in the APPENDIX. The area name is to be used as the log on name for DATA PROCESSING and/or WORD PROCESSING operations. TYPE: HELP MAIL REMOTE INBOX for remote INBOX access info HELP MAIL REMOTE OUTBOX for remote OUTBOX access info 3 INBOX INBOX REMOTE ACCESS: Prior to transmitting documents from the RO PDP 11/70 computer to the USER site, an empty local area (a FORMATTED diskette) should be set up to receive INBOX documents. This is desired so that the index document could also be transmitted. Then telephone the 11/70 using CX mode and sign on the computer using XXXX-INBOX for the account name. Then do "PIP *.W11/LI" to obtain the names of the various documents ready for transmitting over the telephone to your site, starting with "DOC002.W11". Use DXP program to transmit documents (see example). When finished, transmit "DOC001.W11" onto document number 1, overwriting it. Then return to the MAIN MENU, go to CX mode, do a (ctrl) Z, do "PIP *.W11;*/DE" to delete all WORD PROCESSING files, and sign off.
