COPIES OF ELECTRONIC DATA FILES The Center for Electronic Records can copy the data files in its collection using a variety of technical specifications. The options are: A. Media: Either 3480-class magnetic tape cartridge or 9- track magnetic tape reel. B. Density: 3480-class magnetic tape cartridges are written at 37,871 bpi. 9-track magnetic tape reels are either 6250 bpi or 1600 bpi. C. Encoding: Either ASCII or EBCDIC. D. Labelling: EBCDIC files are either labelled (OS standard labels) or unlabelled; ASCII files are unlabelled. E. Blocksize: Any blocksize up to a maximum of 32K characters per block. II. FEES FOR COPIES OF ELECTRONIC DATA FILES A. The basic cost-recovery charge (including shipping and handling) for copying electronic data files onto a 3480-class cartridge or a 9-track tape reel, is: $80.75 for the first file, and $24.50 for each subsequent file per 3480-class cartridge; or $90.00 for the first file, and $24.50 for each subsequent file per 9-track reel. When an order for one data file exceeds one cartridge or one reel of output, add: $7.50 per subsequent cartridge or $17.00 per subsequent reel. B. The charge for an exact copy of an input cartridge or reel, regardless of the number of data files copied, is: $80.75 when copied to a 3480-class cartridge; or, $90.00 when copied to a 9-track class cartridge. Please Note: standard preservation practices at the Center for Electronic Records result in data files with EBCDIC encoding and standard (OS) labels. Therefore, exact copies of files stored in the standard format will be EBCDIC, with OS labels, using the blocksize of the input. The Center can always provide an exact copy of a data reel output to a 3480-class cartridge. Since a cartridge holds more data than a reel, the Center cannot always produce an exact copy of the contents of a 3480-class cartridge on a 9-track reel. In this case, the basic reel charges apply; see "A," above. In addition, the Center retains some data files (as transferred and preserved) in other formats like EBCDIC packed decimal; zone- decimal; binary; NIPS; or SAS, SPSS, or OSIRIS files. The Center can provide only exact copies of these files. III. COPIES OF DOCUMENTATION FOR ELECTRONIC DATA FILES The cost of data does not include the cost of documentation. Documentation is photocopied at $0.25/page. A researcher visiting the Center may do self-service photocopying for $0.10/page. If the documentation is on microfiche, copies are $1.25/fiche. If documentation is in the form of an electronic file, the above fees (II) apply. IV. LIMITATIONS TO SERVICES OFFERED Copies of data files onto electronic media other than 3480-class cartridge or 9-track reel (output to floppy diskettes or CD-ROM, for example) are not generally available. Extracts from data files are not offered, nor are printouts (or dumps) of data files; however, see V, below. V. EXCEPTIONS A. The Center will produce a "public use" electronic extract data file when technically and practically feasible, from a data file having some non-releasable records and/or non-releasable data elements. B. Extracts from the [Southeast Asia] Combat Area Casualties Current File (CACCF) and the Korean Conflict Casualty File (KCCF), in the form of printed lists of casualties from each state, with selected data elements, are available; the charge is $4.50 per list, with a minimum per mail order of $6.00. State lists group all casualties with the same code for state of home of record. C. Printouts of all records of the CACCF or the KCCF are available; copies of either printout are $48. Please request further information, if interested. The Center has some full printouts with records of deceased casualties from the Korean and Vietnam Conflicts for on-site reference use. Pages from the printouts can be photocopied. VI. ORDERING INSTRUCTIONS A. All orders must be in writing and identify the technical specifications of the output; see "I" above. B. Individuals must prepay in U.S. Dollars. Make checks or money orders payable to the National Archives Trust Fund. U.S. Treasury regulations require a minimum of $15 for payments drawn on non-U.S. banks. C. U.S. organizations may submit purchase orders. D. Credit card (VISA or MasterCard) payment is also possible. Organizations or individuals can also establish deposit accounts. E.
