IMPORTANT ANNOUNCEMENT RE. ATTACHMENTS
The SAA Council asked that this announcement about
attachments be passed along to everyone. Note that
the change is scheduled to go into effect on March
12.

In June of 2000 the Archives and Archivists
Listserv Oversight Committee
established terms of participation, which included
the provision
The list does not accept messages with
attachments. The increased threat
of viruses, as well as confusion caused by
non-standard encoding of
attachments, compels this policy. Attachments
will be stripped from
messages automatically by the list software. This
includes signature block
attachments. Attachments should be converted to
plain text and pasted into
the body of the message.
The principal motivation for stripping attachments
is the problem of
viruses distributed via e-mail. We believe that
this change will minimize
the significant amount of time the volunteer list
manager, Robert Schmidt,
will have to spend warning of problems and working
with individuals who
write from infected machines.
However, we also want to ensure that all
subscribers have equal access to
messages to the list. Attachments cannot be read
by many individuals due
to limitations of their e-mail programs and lack
of proper software to read
attachments. Further, attachments often cause
significant problems for
those reading the list in digest format; in some
instances, attachments
result in numerous screen of unintelligible
characters.
Configuring the Listserv software to strip
attachments was delayed due to a
variety of problems, including software upgrades
and the loss of our
principal contact in Miami University's
information technology
department. However, the list can now be
configured to strip attachments.
When the terms of participation were established,
a few individuals
strongly supported the idea of stripping
attachments. Two individuals were
ambivalent; they noted the risks of attachments,
although the did not
object to the change. In January of this year,
one individual on the list
posted a notice to the list encouraging the
Committee to investigate making
this change. No objections to this change were
made.
We have asked to have the list reconfigured to
strip attachments beginning
Monday, 12 March.
The Committee is happy to reconsider this decision
if problems outweigh
benefits. We are especially interested in hearing
for you if you have
problems posting to the list. Richard Pearce-Moses
will monitor the list
for comments on this change; you may also contact
him off-list at
rpm@primenet.com. Richard will consult with the
Committee for an
appropriate response; unless you request
otherwise, we will respond to the
List as a whole. Please remember that
coordinating a response among
Committee members, who may have work commitments,
may prevent an immediate
response.
