Title: AN ASSESSMENT OF MANAGEMENT INFORMATION NEEDED TO ADMINISTER CIRCULATION AND RELATED ACTIVITIES IN EDUCATIONAL FILM LIBRARIES SERVING PUBLIC SCHOOLS

Abstract: The purpose of this study was to develop the conceptual framework for a management information system (MIS) by identifying useful methods and procedures and combining them with data information elements in a structure which can be adapted by individual educational film library managers to meet their specific information needs. Data concerning information preferences was gathered by a mail questionnaire submitted to all 294 identified educational film library managers in thirteen states. The 204 usable returns (69 percent return rate) were analyzed by use of the Statistical Package for the Social Sciences to identify preferred information elements and to identify patterns of information preference. The completed conceptual framework integrates MIS guidelines and recommendations abstracted from the literature, 129 rated information elements in a variety of formats illustrating selection options, and managerial suggestions developed from an analysis of the data.

A consistent pattern of information preference was found in all the populations studied: (1) The highest rated information elements are those which report transactions at yearly or semester intervals, (2) Items associated with the film catalog received the next highest ratings and were closely followed by items which could be used to evaluate the effectiveness of system-wide activities, and (3) Items associated with the patrons of the library received the lowest ratings. Those managers who gave the highest median ratings in their evaluation of the worth of information elements were found to: (1) manage an agency which presently uses a computer in its booking procedure and/or employs a user feedback form, (2) have ten years or less experience as a director, and (3) direct an agency owning 4000 or more prints.
